A first-message template for an international enquiry
Replace each field with your own requirements. Leave unknown technical points marked as questions so they can be discussed; a preliminary enquiry does not need invented specifications.
- Destination country and delivery location:
- Buyer type and intended sales channel or project:
- Product categories and quantities by line:
- Installation requirements and mandatory dimensions:
- Reference model, image or drawing:
- Required documents and who will approve them:
- Packing, labels and preferred shipment arrangement:
- Requested schedule and items still to be clarified:
Use one row per product requirement
Do not combine different shower configurations, finishes or component sets into one unnamed line. Give each line an internal reference and attach the matching drawing. Label units explicitly and show whether a quantity is individual pieces or complete sets.
| Field | Why it belongs in the RFQ |
|---|---|
| Your line reference | Keeps questions and alternatives tied to the right item |
| Required versus preferred | Makes non-negotiable requirements visible |
| Quantity and unit | Distinguishes pieces, sets and component cartons |
| Evidence requested | Shows what must be checked before approval |
| Open questions | Prevents assumptions from becoming an order specification |
